Office Administrator
TITLE: Office Administrator
POSITION: Part time (25 hours per week)
REPORTS TO: Executive Directors and Directors
GENERAL FUNCTION:
The Office Administrator will provide support and assistance to Directors of the Foundation and its programs. These responsibilities include: student scholarship screening, administration and support, fundraising and database management activities, communications and book keeping regarding grants to teachers and general office support.
The Office Administrator will provide general support and assistance under the direction of the directors. Having a basic knowledge of, and commitment to, the philosophy of the Asheville City Schools Foundation, the candidate will have a strong work ethic, be detail oriented, and enjoy the challenge of working on a wide variety of tasks that is dynamic.
PRINCIPLE ACTIVITIES:
Scholarship Administration and Support
· Assist with communications targeted at students and that promote the program.
· Assist with publicity of availability of scholarships within schools and community media.
· Assist with scholarship applications, prescreening and interview process.
· Data collection and entry
· Assist with scholarship renewal and CAYLA scholarship.
Fundraising Administration and Support
· Administration of Giftworks database
· Donor acknowledgements.
· Mailing support
· Event Support
General Office Administration
Specific activities will correspond with current program requirements and will include (but not be limited to):
- General support
- Mail merging and mailing coordination
- Logistical arrangements (events, conferences, etc.)
- Data entry
- Organize materials and information
- Copying and printing
- Administrative and office support activities
- Project and database management
- Communications, planning and support for the board of directors
- Planning and scheduling meetings or appointments
- Collect and organize information regarding after school programming
- Create spreadsheets and write reports
KNOWLEDGE, SKILLS & ABILITIES:
• Adept in the office software including the use of spreadsheets, mail merges,
• Strong knowledge and abilities relating to commonly used clerical/administrative support and project coordination concepts, practices, and procedures.
• Clear, effective and demonstrable oral and written communication skills.
• Strong interpersonal, problem solving, proofreading, customer service and relationship building abilities.
• Strong organizational and record-keeping skills with the ability to handle multiple, high priority projects with a keen attention to detail required.
• Professional demeanor; team player orientation; ability to interface with internal and external parties at all levels.
• Hands on, energetic and motivated self-starter.
COMPENSATION: Hourly, based on experience. Benefits not included.
